The exhibitor portal

Every gallery gets a workspace for your fair: the forms to fill, the deadlines to meet and the people on their team.

Orders and invoices

Sell stands, extra walls, lighting and passes to exhibitors and invoice them from your own legal entity.

05

Passes and guests

Give each gallery its pass quota, collect names and send passes before the doors open.

The online viewing room

Works hang the way a gallery hangs them.

Every stand online, on your domain. Works keep their true proportions and carry a wall label: artist, title, medium, size and price or “price on request”. When a work is reserved or sold, its label changes everywhere at once.

  • VIP preview before the public opening
  • Enquiries straight to the gallery, and buy-now on selected works
  • Search across the fair, saved works and shortlists

Yours, not a marketplace

Your name on the door. Your data in your own database.

Your brand, your domain

Exhibitors sign in to your fair’s portal, collectors browse your fair’s viewing room, and emails go out in your fair’s name. Logo, colours and fonts are yours. ArtNav stays in the background as a small “Powered by ArtNav” credit.

Your own deployment

Each client runs on its own deployment and database, holding all of its fairs and editions. Galleries keep one workspace across them, and your records are never mixed with another fair’s. How we keep it secure.

For your exhibitors

Galleries see exactly what they need for your fair: their forms, deadlines, stand, orders, passes and viewing room. Gallery admins invite their own team, and your staff can step in on their behalf.

For your team

Fair admins and staff scoped to specific fairs review applications, approve submissions row by row and export everything to Excel, CSV or PDF. Every action taken on a gallery’s behalf is logged.

Questions

What fairs ask us.

What is ArtNav?

ArtNav is software for running an art fair. Applications, the exhibitor portal, stands, orders and invoices, passes, the online viewing room and the fair website work from the same records, so your team and your exhibitors are never working from different versions.

Who uses it?

Art fair organisers and their teams, the galleries that exhibit at their fairs, and the collectors who visit the online viewing room. Online viewing rooms for Frieze, The Armory Show, EXPO CHICAGO, Independent and SCOPE have run on ArtNav.

Does it run under our own name and domain?

Yes. Each client runs its own deployment of ArtNav, with its own name, logo, colours and domain. Exhibitors and collectors see your fair, with a small “Powered by ArtNav” credit.

Can we run several fairs on it?

Yes. One deployment holds as many fairs and editions as you run, and galleries keep one workspace across all of them.

Can we use only some modules, such as the viewing room?

Yes. Every module can be switched on or off per fair, and some, such as the viewing room or online sales, per gallery.

How do online sales work?

Galleries can mark selected works as buy-now. The collector pays by card through Stripe, the work is held while they pay, and it shows as sold everywhere it appears as soon as payment clears. Other works take enquiries, which go straight to the gallery.

How is our data kept safe?

Your fair runs on its own deployment and database. Admins sign in with two-step verification, every role sees only what it needs, staff actions on a gallery’s behalf are logged, and card details are handled by Stripe and never reach ArtNav. See the security page for details.

How is ArtNav priced?

Pricing depends on the modules you use and the size of your fair. Write to hello@artnav.art and we will send you a quote.
